Get Started with the App for Your Organization
To support a smooth transition to digital receipt management, it’s important that all users in your organization are properly informed and equipped to use Expense. Follow the steps below to invite users and help them get started quickly.
📣 Step 1: Inform Your Users
Administrators should send a welcome email to all users with instructions on how to access and use the Expense app.
Instructions:

Go to Administer > Messages in the Expense portal.

Copy the email addresses of the users you want to invite.

Open your email client, create a new message, and paste the addresses.

Use the email template below, or tailor it to suit your organization’s needs.

Subject: Welcome to Expense – Our New Digital Receipt Management System
Hi [First Name],
As part of our digitalization journey, we’re excited to introduce Expense – a user-friendly platform for managing your receipts and expense claims digitally.
🔧 Getting Started:

Log in to your profile:

Download the Expense app:

Available on the App Store (iOS) and Google Play (Android).

Connect the mobile app:

Use your username: [insert username]

Use your temporary password: [insert password]

Upon first login, you’ll be asked to create your own password.

Navigate to My > Settings > Mobile Devices > Add Device to generate a registration code.

Enter this code in the app when prompted on first launch.

Alternatively, you can log in to the app directly using your username and new password.

📅 Important: Starting from [Insert Date + Month], all receipts should be photographed and submitted digitally using the Expense app. This will simplify and accelerate our expense processes for everyone.
