How to activate and customize Expense Co-Pilot

✨ What is Expense Co-Pilot?

Expense Co-Pilot is an intelligent feature that:

  • Provides purchasing recommendations based on your history

  • Automates subscription management – simpler, faster, and smarter

It’s like having an experienced purchaser by your side – every time you log in.

✅ How to Activate Expense Co-Pilot

🔒 Note: This feature must be activated by an administrator. If you don’t see Co-Pilot in your view, contact your system administrator.

For administrators:

  1. Log in to Expense Admin.

  2. Go to Administration > Admin Panel > Activate Co-Pilot (if not already done).

  3. Confirm that the feature is now visible under the Settings menu for all users.

📱 Co-Pilot in the Mobile App (Android & iOS)

Once activated, users will see:

  • A Copilot icon directly in the purchase list – next to automatically recorded purchases

  • Suggestions in the account list – clearly marked with a Copilot label

  • A new section in Settings – where users can read more about the feature

The mobile version is currently in its first phase of launch – more functionality will be rolled out continuously!

🚫 How to Deactivate Expense Co-Pilot (as a user)

If you want to disable Co-Pilot for yourself:

  1. Click the profile icon at the top right.

  2. Go to Settings.

  3. Select the Co-Pilot tab.

  4. Uncheck the recommendations or notifications you do not wish to use.

  5. Click Save.

This only affects your personal preferences – not the entire organization.

How to Deactivate Expense Co-Pilot (for the entire organization)

  1. Go to Administration > Admin Panel > Deactivate Co-Pilot.

  2. After deactivation, no users will have purchases automatically recorded, but suggestions will still appear during the accounting step.
