Expense App Onboarding: End-User Guide for Corporate Card Transactions
This guide walks new users through setting up and using the Expense app for managing corporate card transactions, from initial login to submitting receipts and approvals.
✅ Getting Started: Account Setup

Log into the Expense Environment

Your company has its own domain.

Use the credentials provided by your admin or company to log in.

Download the App

Search for Expense in the Apple App Store or Google Play Store and install the app on your phone.

Activate Your Account

Log in to the web domain to:

Change your password (recommended).
-
OR go to “My Settings” and generate a unique registration code.

In the mobile app, tap Add Device, enter the registration code, and activate your account.

Verify Your Email

This allows you to forward emailed receipts directly to
receipt@expense.se

These receipts are stored in your receipt bank, ready to match with transactions.

📸 Managing Receipts and Transactions

Capture Receipts

After any corporate card purchase, immediately open the Expense app, tap the plus icon, and take a picture of the receipt.

The app will scan key details like:

Purchase date

Amount
-
User-entered comment (e.g., “Dinner with Customer X”)

Transaction Matching

When your card transaction is posted to Expense:

You’ll receive a push notification and an email.

Go to To Do > To Account to match the receipt with the transaction.

Categorizing Transactions

If required by your company:

Tap the transaction row → Categorize.

Select the correct expense account.
-
Add cost centers, projects, or other metadata if needed.

Entertainment/Representation

For meals or events:

Select Entertainment type (Internal, External, etc.).

Add:

Number of attendees

Names

Purpose of the meeting

🧾 Submitting and Reviewing Reports

Submit Expense Reports

Once all transactions for the period are processed, tap Submit.

Reports are sent to your manager or finance/payroll team.

Approving as an Authorizer

If you're an approver:

You’ll be notified via push/email.

Go to Review in the app.

Check:

Then tap Authorize or Deny if corrections are needed.
